There are four ways tasks can be created. Super is designed to make task creation and management effortless. No app download or login is required to create or respond to a task for users who aren’t in the platform daily.

Emailing in a task

Anyone can email a task by using the custom property email. These email addresses are formatted as [companyname]@mail.hiresuper.com.

When a task is emailed in, it follows this flow:

  1. If the creator is an existing contact in the property, we automatically associate the creator with the account. If the creator is not recognized, we automatically create an External Contact profile for the creator.
  2. A task is created in Super. The email subject maps to the task subject, and the email body maps to the task description. This task is auto-assigned to the primary Property Manager set for the property.
  3. The creator receives an email confirmation that their task has been created. If they have sign-in access to Super, they also get a link to view in Super. If they are an External Contact, they do not get a link to view.
  4. Any major updates to the task will send a follow-up email notification the creator. These include: a new comment on the task, subject or description edit, upcoming due date, or status change to urgent, closed, or open.
  5. The creator can also respond to email notifications about the task. These responses will be logged as comments on the task.

Texting in a task

Anyone can also text a task by using the Super phone number.

When a task is texted in, it follows this flow:

  1. If the creator is an existing contact in the property, we automatically associate the creator with the account. If the creator is not recognized, we automatically create an Auto-Created contact profile for the creator.
  2. A task is created in Super. The text body maps to the task description, and a thread ID is assigned. This task is auto-assigned to the primary Property Manager set for the property.
  3. The creator receives a text confirmation that their task has been created with the thread ID.
  4. Any comments or changing status to closed to the task will send a follow-up text notification the creator. They do not receive text notifications for anything outside of comments or if you select to change the status to “Closed (Notify).”
