There are four ways tasks can be created. Super is designed to make task creation and management effortless. No app download or login is required to create or respond to a task for users who aren’t in the platform daily.

Emailing in a task

Anyone can email a task by using the custom property email or setting up email forwarding to it. These email addresses are formatted as [companyname]@mail.hiresuper.com.

When a task is emailed in, it follows this flow:

  1. If the creator is an existing contact in the property, we automatically associate the creator with the account. If the creator is not recognized, we automatically create an Auto-Created contact for the creator.
  2. A task is created in Super. The email subject maps to the task subject, and the email body maps to the task description. This task is auto-assigned to the AI Assistant.
  3. The creator receives an email confirmation that their task has been created, and receives responses from the AI Assistant.
  4. When the AI Assistant determines the task needs to be handed over, it will reassign to the appropriate team member and add them to the email thread. The assignee will also get an Assignment email with the task details.
  5. Both the creator and assignee can respond via email, and these will be logged to the task.

Texting in a task

Anyone can also text a task by using the Super phone number.

When a task is texted in, it follows this flow:

  1. If the creator is an existing contact in the property, we automatically associate the creator with the account. If the creator is not recognized, we automatically create an Auto-Created contact profile for the creator.
  2. A task is created in Super. The subject maps to the first few words of the text message, and the full text message maps to the task description. This task is auto-assigned to the AI Assistant.
  3. The creator receives responses from the AI assistant.
  4. When the AI Assistant determines the task needs to be handed over, it will reassign to the appropriate team member and add them to the email thread. The assignee will also get an Assignment email with the task details.
  5. The creator can continue to reply to the text thread, and will receive any responses from the assignee via text message. The assignee can respond via email. All messages will be logged to the task.
